Privacy Policy

Last updated:

This Privacy Policy applies to all visitors and registered business buyers of SolaxBulk Wholesale. It explains how we collect, use, share, and protect your information in compliance with international data protection regulations, including the EU General Data Protection Regulation (GDPR).

1. Introduction

SolaxBulk Wholesale ("SolaxBulk," "we," "us," or "our") is a B2B wholesale supplier serving distributors, importers, resellers, and corporate buyers worldwide. We are committed to protecting the privacy and security of your business information.

This Privacy Policy explains what information we collect when you visit our website, register a business account, request a quote, or place a bulk order, and how we use, share, and safeguard that information. By accessing or using our website and services, you consent to the practices described in this policy.

This policy applies to all visitors regardless of whether they have registered an account. If you are an approved B2B buyer with an active account, additional terms may apply under your customer agreement.

2. Information We Collect

We collect information that you provide directly to us, as well as information gathered automatically when you interact with our website. The categories of information we handle are described below.

2.1 Business Information

When you register a business account or submit a Request For Quotation (RFQ), we collect details about your company, including: registered company name, business registration or tax identification number, country of incorporation, business address, industry sector, and intended purchase volume.

This information allows us to verify your business identity, assign you to the correct customer group for wholesale tier pricing, and comply with export control and trade compliance requirements.

2.2 Contact Information

To communicate with you about orders, quotes, and account matters, we collect the names and contact details of individuals representing your company, including: full name, job title, business email address, phone number, and preferred communication language and time zone.

If you provide contact details for additional colleagues (such as a logistics coordinator or finance contact), we will use those details only for the specific transaction or inquiry you have shared them for.

2.3 Order and Transaction Data

When you place an order or accept a proforma invoice, we collect transaction details including: product SKUs and descriptions, quantities, unit prices and tiered pricing applied, shipping terms (FOB, CIF, DDP), delivery address and Incoterms destination, payment method and remittance references, and order status history.

We retain order records for the period required by applicable tax, accounting, and trade regulations in our operating jurisdictions, which is typically a minimum of seven (7) years.

2.4 Automatically Collected Information

When you browse our website, our servers automatically log technical information such as: IP address and approximate geographic location, browser type and version, device type, pages visited and referring URLs, and timestamps of your visits.

This technical data is used for security monitoring, website performance optimization, and aggregate traffic analytics. It is not used to identify individual visitors for marketing purposes.

3. How We Use Your Information

We process your information for the following legitimate business purposes:

3.1 Account Management and Verification

To verify your business identity, review and approve new account applications, assign wholesale customer group pricing, and maintain your account profile.

3.2 Order Processing and Fulfilment

To process quote requests, generate proforma invoices, arrange production and quality control, coordinate shipping and customs documentation, and deliver orders to your specified destination.

3.3 Customer Support

To respond to your inquiries about products, pricing, lead times, and orders, and to provide after-sales support including warranty claims, returns, and product documentation.

3.4 Communication

To send you transactional messages (order confirmations, shipping notifications, invoice copies), account review updates, and occasional product or company announcements. You may opt out of non-transactional communications at any time using the unsubscribe link in each email or by contacting us directly.

3.5 Legal Compliance and Security

To comply with export control regulations, trade sanctions screening, anti-money-laundering requirements, tax and accounting obligations, and to detect, prevent, and investigate fraud, unauthorized access, or other misuse of our website and services.

4. Sharing Your Information

We do not sell, rent, or trade your personal or business information to third parties for their marketing purposes. We share information only with the categories of recipients described below, and only to the extent necessary to operate our business and fulfil our obligations to you.

4.1 Service Providers and Partners

We engage trusted third-party service providers to perform functions on our behalf, such as: logistics and freight forwarding companies for shipping and customs clearance, payment processors for invoice settlement, cloud hosting and software providers for website and CRM infrastructure, and quality inspection agencies for pre-shipment product checks.

These providers are bound by contractual obligations to handle your information confidentially and only for the purposes we specify. They are not permitted to use your data for their own marketing.

4.2 Legal and Regulatory Authorities

We may disclose information to government authorities, customs agencies, or law enforcement when required by law, court order, or applicable regulation, or when we believe in good faith that disclosure is necessary to protect our rights, comply with legal process, or prevent fraud or harm.

4.3 Business Transfers

In the event of a merger, acquisition, restructuring, or sale of all or part of our business, your information may be transferred as part of that transaction. We will notify you by email or prominent notice on our website before your information becomes subject to a different privacy policy.

4.4 With Your Consent

We may share information with third parties when you give us explicit consent to do so, for example when you ask us to send a quote request to a specific supplier or forward product specifications to a colleague.

5. Data Security

We implement industry-standard technical, organizational, and physical safeguards to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include: encryption of data in transit using TLS, restricted access controls based on job role and business need-to-know, regular security reviews and vulnerability assessments, and employee training on data protection and confidentiality.

While we strive to protect your information, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security, but we are committed to promptly investigating and notifying affected users of any confirmed data breach in accordance with applicable laws.

7. Your Data Protection Rights (GDPR)

If you are located in the European Economic Area (EEA), the United Kingdom, Switzerland, or another jurisdiction with comprehensive data protection laws, you have certain rights regarding your personal data. These rights are described below.

7.1 Right of Access

You may request a copy of the personal data we hold about you and details of how we process it.

7.2 Right to Rectification

You may request that we correct any inaccurate or incomplete personal data we hold about you. You may also update your business profile directly through your account dashboard.

7.4 Right to Restrict Processing

You may request that we limit the processing of your personal data to storage only, pending verification of accuracy or a dispute resolution.

7.5 Right to Data Portability

You may request that we provide your personal data in a structured, machine-readable format and, where technically feasible, transmit it to another controller of your choice.

7.6 Right to Object

You may object to the processing of your personal data for direct marketing or for purposes based on our legitimate interests. We will stop processing your data for the objected purpose unless we can demonstrate compelling legitimate grounds that override your interests.

7.7 Right to Withdraw Consent

Where we process your data based on your consent, you may withdraw that consent at any time. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

7.8 How to Exercise Your Rights

To exercise any of these rights, please contact us using the details in Section 9 (Contact Us). We will respond to your request within thirty (30) days. If you are unsatisfied with our response, you have the right to lodge a complaint with your local data protection authority.

8. International Data Transfers

As a global B2B wholesale supplier, we process and store information across multiple countries. Your information may be transferred to, stored in, or processed in countries other than your country of residence, including countries that may not have the same data protection standards as your jurisdiction.

When transferring personal data from the EEA, UK, or Switzerland to countries that have not received an adequacy decision, we rely on appropriate safeguards such as Standard Contractual Clauses (SCCs) approved by the relevant regulatory authority, or another lawful transfer mechanism under applicable data protection law.

9. Policy Updates

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or operational needs. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, provide a more prominent notice (such as on our website homepage or via email to registered account holders).
